Privacy Policy

When you use The HOA Letter, we collect:

• Account info: your email address, the legal name you choose to put on letters, and your default Florida county.
• Case content: anything you type or paste into the case wizard or chat (including the HOA letter you upload), plus the documents we generate for you.
• Billing info: if you subscribe, Stripe holds your payment details. We never see or store your card number — we only get back the subscription status and a customer ID.
• Technical info: standard server logs (IP, user agent, timestamps) for debugging and abuse prevention.

We use your data to provide the service: store your cases, generate your Strategy and Response Letter, send you transactional emails (welcome, document-ready, billing), and keep your subscription in sync. We do not sell your data. We do not use your case content to train AI models.

We use a small number of vendors to run the service. Your data flows through them only as needed:

• Supabase — hosts our database and authentication.
• Anthropic — generates your documents. Per Anthropic’s policy, API inputs are not used to train their models.
• Vercel — hosts the web application.
• Stripe — processes payments.
• Resend — delivers transactional email.

We do not share your data with anyone else, including the HOA you’re in dispute with, unless you explicitly send it to them (e.g., by mailing the letter we drafted).

Your account and case data persist until you ask us to delete them. To delete your account, email hello@thehoaletter.com from your registered address and we’ll remove your account and associated case data within 30 days. Backups are purged on the standard retention cycle of our vendors.

You can view your data via your dashboard at any time. You can correct your name and default county on the profile page. You can request a copy of all your data, or request deletion, by emailing us. We respond to verified requests within 30 days.

The service is intended for adults. We don’t knowingly collect data from anyone under 18.

We’ll let you know about material changes to this policy by email or via a dashboard notice. Continued use after the change date constitutes acceptance.
